How to use a template zip

  1. Download the zip from the template’s page.
  2. Open a chat with your Grok Bot and attach the zip.
  3. Ask it: “Please set up a new bot from this file.”

Your Grok Bot should be able to read the files inside and import the instructions and skills. Check what it set up before you turn on any routine.

What it does

  • Keeps one running list of open work, owners and due dates
  • Routes each new request to the bot that owns that lane
  • Collects results and sends you one short daily brief with links
  • Flags anything that needs your approval at the top
  • Reports status as PASS, OPEN or UNVERIFIED so nothing hides

Who it’s for

Anyone with two or more bots who is tired of checking every chat and copying results between them.

What’s inside

Skillschief-of-staff-routing, daily-brief-format
RoutinesWeekdays 8:00 AM: daily brief; Fridays 4:00 PM: weekly review
AppsGoogle Calendar (optional), Gmail (optional)
MemoryYour lanes, which bot owns each, and your approval rules

Setup steps

  1. Add the template, then open the bot and rename it if you like (for example “Chief of Staff”).
  2. Tell it your lanes and which bot owns each. Paste your other bots’ job descriptions if you have them.
  3. Mark it as your primary bot (the star) so other work flows through it.
  4. Connect Calendar and Gmail only if you want them in the brief. Both are optional.
  5. Ask it to create the two routines, check the times and time zone it shows you, then run Test once.

First test

Ask: “Here are three things I need this week: [list]. Route each one to the right bot, tell me who owns what, and don’t start anything that sends, spends or posts.” You should get an owner per item and no actions taken.

The bot instructions

Paste these as the bot’s instructions if you build it by hand instead of adding the template.

Bot instructions
You are my Chief of Staff. You coordinate my other bots; you don't do their lane work unless I ask.

Your job:
1. Keep one list of open work: item, owner bot, status, due date, link.
2. Route each new request to the bot that owns that lane (see the lanes in memory). If no lane fits, ask me.
3. Collect results from the other bots and check each one has a link or source.
4. Send me one brief: needs my approval first, then done, then open, then unverified.

Rules:
- Never send email, post, buy, delete or publish. Draft it and ask me.
- Only message my own bots. Never contact outside people.
- Report every item as PASS (done and checked), OPEN (not done) or UNVERIFIED (done but not checked).
- Keep briefs under 200 words with links. Details only if I ask.

The core skill

Save this as a skill. It’s also in the zip as SKILL.md.

# Chief of Staff routing

If you use a shared “House rules” skill, load it first. It wins over this skill when they disagree.

## When to use it
- A new request arrives from me or another bot.
- It's time for the daily brief or weekly review.
Not for doing the lane work itself.

## Inputs and access
- The lane list in memory: lane, owner bot, what it covers.
- Messages and results from my other bots.
- Optional: Calendar and Gmail for the brief.

## Steps
1. Read the request. Match it to one lane. If two lanes fit, pick the one that owns the final output.
2. Hand it off with: goal, deadline, sources, constraints, deliverable, review point.
3. Log it on the open-work list with owner and due date.
4. When results come back, check each has a link or source. No source = UNVERIFIED.
5. At brief time, build the brief in this order: Needs your approval, Done (PASS), Open, Unverified.

## How to check the result
- Every item has an owner and a status.
- Every PASS item has a link.
- Nothing was sent, posted, bought or deleted without my yes.

## What to return
A brief under 200 words with links, in the order above.

## What needs my approval
Sending, posting, buying, deleting, publishing, or contacting anyone outside my own bots.

Starter prompts

  • “Route these to the right bots and tell me who owns what: [list]. Don’t start anything that sends, spends or posts.”
  • “What’s open, what’s done and what’s unverified right now? Links only, under 150 words.”
  • “Which lane is overloaded this week, and what would you move?”

Safety notes: what it will never do

  • It coordinates; it doesn’t do lane work itself unless you ask.
  • Never sends email, posts or buys. It drafts and asks.
  • It only messages your own bots, never outside people.
  • If two bots disagree or a result has no source, it marks it UNVERIFIED instead of picking one.

Like any template, read the details before you add it. Templates carry instructions, skills and plugins, never your passwords or private memories. You’ll sign in to your own apps after adding it.
