9 setups most users skip copy‑paste prompts one‑page checklist

One bot doing everything is the beginner setup.

It’s how most people start, and it works for a week. Then the chat gets long and the bot forgets context. Here’s the same online store, run two ways.

The beginner setup

One bot, every job.

  • One long chat juggling ads, posts, emails and design.
  • The same instructions retyped, because nothing is saved as a skill.
  • The bot forgets context, so you explain the store again.
  • A few bots open at once, and the computer chokes.
  • You copy work from bot to bot by hand.

The power user setup

One bot per lane, and a chief of staff.

  • Each bot owns one area, so it gets good at it.
  • A chief of staff routes the work and gives you one brief.
  • Shared skills: write it once, every bot uses it.
  • Memory routines, so each bot picks up where it left off.
  • Repeat jobs become scripts, saved where you can see them.

Stop being the glue.

Copying output from one bot into another. Checking every step. Re-explaining what you said yesterday. That’s not running bots, that’s babysitting them.

In a swarm, bots hand work to each other, and you only step in to approve.

Watch them hand off

Bots take turns, so your computer doesn’t crash.

Heavy websites like your store, ads manager and social apps eat memory. When every bot opens them at once, the computer freezes. In a swarm, each bot finishes, closes its browser, and passes the baton.

Example: launching a new product

The 9 setups in the guide

      Memory routines

Your bot forgets because nobody told it when to remember.

    4. 4

      Backups

Every setup is one bad day away from losing everything.

    5. 5

      Beginner essentials

When to use bot group chats, and when they burn tokens.

Get all 9, step by step.

    Where this takes you.

Set up the 9 and your bots go from helpful to dependable, in three stages.

    1. Setups 1–5

      Stable

Your bots follow the same rules, stop crashing your computer, remember what they learned, and nothing gets lost.

    2. Setups 6–8

      Organized

Group chats only when they’re worth it, a swarm you can move to a new account, and every bot keeps its own docs.

    3. Setup 9

      Autonomous

Bots keep running on their own and check their work before it ships. You approve instead of babysit.

    So here’s what’s real.

The guide is new, so we won’t fake reviews. This site is built and checked by a team of bots, and the setup in the guide is the one we use. Here’s a prompt from it, the bots that run Swarm School, and our own build notes.

    Straight from page 7

    Setup 1: Shared skills

Look at the instructions I keep repeating to you and my other bots. Turn them into one short shared skill called “House rules”: brand voice, what needs my approval, and where files are saved. Keep it under one page, in plain words. Save it where all my bots can load it, then tell me exactly how each bot should load it at the start of a job.

Paste it to your bot today. The other 8 setups work the same way.

What our bots did this week

    1. Builder

Rebuilt the free guide as an 18-page, letter-size PDF with a contents page and a checklist.

    2. Builder

Published the free-guide preview at the top of this page and moved the Bot Audit to its own page.

    3. Chief of Staff

Our bots’ computer rolled back to an older copy. Checked what happened and set a new rule: back up after every step.

    4. Builder

Restored the site from the live copy, and the guide from a saved copy of the PDF.

    5. Builder

Researched how free-guide pages work best, then added this section, the FAQ and a thank-you page.

Real entries from our notes, shortened. A person approves anything that goes public.

The swarm that runs Swarm School

One bot per job, one coordinator, and a person who approves anything public.

    • Chief of Staff

The coordinator. Keeps the to-do list, hands out work, sends one brief for approval.

    • Builder

Builds and tests this site, the free guide and the Bot Audit.

    • Brand

Keeps the logo, colors and voice the same everywhere.

What’s next: want one email when the paid steps open?

    Tell me when they open

    Questions, answered.

Still unsure? Read the sample pages above. The guide and the Bot Audit are both free.

    Is it really free?

Yes. The PDF costs nothing. You just tell us where to send it. The paid kits are optional, and you never need them to use the guide.

    Who is this for?

People already using Grok Bot or ChatGPT who want it to run more of their work. You don’t need to code. If you’re brand new, start with setup 1 and go in order.

What happens after I sign up?

You’ll land on a thank-you page with a button to download the PDF right away, plus one optional quick question. You don’t need to sign up again.

    Do I need to code?

No. Every setup ends with a prompt you paste to your bot, and the bot does the technical part. You only sign in to your own apps yourself. Passwords never go in a chat.

Does it work with ChatGPT or OpenAI?

It’s written for Grok Bot. The ideas (shared skills, memory, backups, handoffs, quality checks) work with any AI agent tool, and most prompts work with small changes. A few setups, like scheduled routines, depend on what your tool can do.

    What does Grok Bot cost?

Grok Bot comes with the Premium ($30/mo), Super ($100/mo) and Ultra ($200/mo) plans. Plus ($8/mo) and Free don’t include it. Those are the prices listed in October 2026, so check the plan page before you buy.

    Will you spam me?

No. After the guide you get five short emails over about 10 days, each with one thing to set up, then one email a week at most. Every email has a one-click unsubscribe, and we never sell or share your address.

What is Swarm School? Is it part of xAI?

Swarm School is an independent project that teaches people to run a team of AI bots. It isn’t affiliated with or endorsed by xAI. We run our own swarm and share the setup that works for us.
